Google Drive can show you what uses space, but it does not have a button that recompresses ordinary videos, photos, audio files, or PDFs in place. To reduce those files, you either download and optimize them, use a specialist cloud tool, or delete data you no longer need. The right choice depends on the file type and how important the original quality is.
1. Start with the files that can make a difference
Open Google Drive’s storage view and sort by storage used. A few long videos, scans, or duplicate exports often matter more than thousands of small documents. Empty the bin only after checking it; deleting files is permanent once the bin is cleared.
Google Docs, Sheets, and Slides are not handled like ordinary uploaded files. Focus first on files you own and can edit, especially JPEG images, PDFs, MP4 or MOV videos, and large audio recordings.
- Record the original size before changing a file.
- Keep a separate backup of irreplaceable originals.
- Test one representative file before processing a large collection.
2. Match the method to the format
For video, HandBrake or FFmpeg can lower resolution, bitrate, or both. For photos, an image editor can resize oversized dimensions and export a JPEG at a sensible quality setting. PDF optimization can downsample embedded images and remove unused data. Audio encoders can lower bitrate, although speech and music need different settings.
ZIP files are useful for grouping files for transfer, but already-compressed media such as JPEG, MP4, and MP3 usually shrink very little in a ZIP archive. A ZIP also changes how you access the files, so it is rarely the answer to an active Drive library.
3. Understand the quality trade-off
Meaningful savings for photos, video, audio, and image-heavy PDFs usually involve lossy compression. That means some source information is discarded. The result can still look or sound acceptable for everyday use, but it is not identical to the original and savings are never guaranteed.
Check sharp text, faces, gradients, motion, audio detail, searchable text, links, and signatures where relevant. If a smaller output is not produced or a file cannot be validated, keep the original.
4. When an automated Drive workflow helps

The process is lossy, so keep separate copies of originals you may need for archival, legal, print, or professional editing work.
A simple decision rule
Delete obvious clutter first. Manually optimize a small number of valuable files when you need precise control. Use an automated workflow when there are many supported files and the convenience is worth accepting a measured quality trade-off. In every case, compare the resulting size and inspect the output before treating the job as finished.
